In this industry, if you’re not efficient, you’re losing money. It’s that simple. As owner-operators in asphalt paving and sealcoating, we’re constantly juggling everything at once. Estimating jobs, scheduling crews, answering calls, sending invoices… it never really shuts off.

I got a call last week from my buddy Jason, and he was asking what we use for a CRM and what he should be looking for. And honestly, it’s a great question—because there are a ton of options out there. But here’s the truth: most of them don’t matter if they don’t actually save you time and keep you organized. After 22 years running Wis-Coat, that conversation made me realize… I might know a few things. Maybe.

So instead of overcomplicating it, here are the 3 things that actually matter when you’re choosing software for your business.

1. Your Workflow Scheduling Has to Be Tight

If your system is clunky, your whole operation feels it.

From the first call to getting paid, everything should flow.

You should be able to:
1. Build an estimate fast
2. Turn it into a job
3. Schedule your crew
4. See your entire workload clearly

When that’s dialed in, your crews stay moving and you eliminate the chaos that kills
production. For us at Wis-Coat, we use Jobber as our CRM, and that’s been a big piece of keeping everything connected from estimates to scheduling to follow-ups.

2. Know Your Numbers (Even If You Don’t Love Them)
A lot of guys think being busy means they’re doing well. That’s not always true.

You’ve got to know:

  • What each job is costing you
  • What your margins actually look like
  • How fast you’re getting paid

If your system lets you invoice from the field and get paid quicker, that alone can change
your cash flow. I’ll be honest—I’m not the guy who wants to live in spreadsheets. That’s why we use accounting/tracking software and have Cyla handle reporting at Wis-Coat. It gives us
clarity without slowing us down.

3. Communication = Professionalism
This one matters more than ever now.

Customers expect clear communication. They want updates. They want to know what’s going on.

 If your system helps you:

  • Send clean, professional estimates
  • Respond quickly
  • Keep customers updated

You’re already ahead of most contractors.

A lot of platforms now have customer portals where people can see updates or message
your team in real time and that builds trust fast.

Keep It Simple

At the end of the day, I told Jason the same thing I’ll tell you:

Don’t overcomplicate it.

Find something that:

  • Keeps you organized
  • Tightens your schedule
  • Gives you clarity on your numbers
  • Makes communication easier

Use it to simplify your business and get your time back.

Because that’s really what this is about, getting time back to spend doing what you enjoy,
with the people you care about.

In this business, time is money. And the right system helps you protect both.

If you’ve got questions about what we use or how we’ve set things up, shoot me a
message. Always happy to talk shop.
